This is a freelance opportunity, working on a project to be delivered in Vietnam in Q4 2025 with 24 days pre-production.
The role:
The Project Manager will be responsible for the planning, management, and financial control of a project. They will ensure that the scope and direction of the project is on schedule and that the desired result is achieved with most efficient use of resources. They will proactively manage and frequently communicate with Project team members, suppliers, Producers, Creatives, and Account Directors as needed. The role will include development, production, and delivery of multiple projects across accounts from proposal right up to delivery and reconciliation. The role must be on the ground in Singapore/Vietnam.
Key responsibilities of the role include:
Client Management
• Act as the first point of day-to-day contact with clients
• Maintain and develop the client relationship
• Contribute fresh thinking to challenge the status quo and help implement continuous improvement to best practice
Financials
• Create and manage budgets, taking responsibility for supplier invoice/expense tracking and final reconciliation
• Negotiate contracts/agreements with 3rd party suppliers
• Be responsible for ensuring clients are invoiced in a timely manner and schedules are adhered to
• Ensure clients are regularly updated on budget status
Project management
• Track and manage project timelines and drive timelines with team and client as directed
• Run weekly team and client meetings
• Monitor services and activities to ensure they are within budget
• Ensure timely delivery of all necessary assets, content, and materials for each event
• Oversee suppliers and service providers efficiently and respectfully
• Work with Client and Account team on planning, execution, and post-event reporting
• Project manage onsite
• Oversee signage/graphics and décor development, copy, creation, and placement
• Develop and organise accommodation, catering, staffing, and transportation as required
• Oversee all crew logistics
• Perform other duties as assigned
• Manage account executives and interns assigned to projects
Essential skills/qualifications:
• Experience within an agency environment
• A thorough understanding of budgets and reconciliation (budget handling of £100k +). Basic knowledge of Procim an advantage
• Self-motivated and enthusiastic individual with a can-do positive attitude and ability to use common sense
• Driven, confident, and articulate
• Willing to work as part of a team but also have the initiative to work independently
• Excellent communication skills, both written and verbal, with strong attention to detail
• Well-presented and comfortable in a corporate environment and dealing with senior client executives
• Ability to juggle day-to-day tasks and prioritise workload of multiple projects
• Proactive and resourceful, able to use initiative and problem solve
• Good operational awareness – understanding of the daily functions of the role and how TBA operates. Overall awareness of the processes, procedures, and daily tasks of the role and knowledge of where to find resources/who to reach out to in order to complete tasks and gain information
• Good skills in Microsoft Office (Word, Excel, and PowerPoint) are essential
• A team player who is dedicated and enthusiastic about events
• Background in conferences and content delivery
