Job Summary

The Elite Job is looking for a highly organized, tech-savvy, and proactive Executive Assistant (Remote) to support our senior leadership team. In this role, you will serve as the right hand to executives, managing their schedules, coordinating meetings, handling confidential information, and ensuring smooth day-to-day operations. You will play a vital role in keeping our remote-first team focused, efficient, and connected.

Key Responsibilities

  • Manage and maintain executives schedules, calendars, and travel arrangements

  • Coordinate internal and external meetings across global time zones

  • Prepare presentations, reports, and executive summaries

  • Handle email management and prioritize communications on behalf of executives

  • Support planning and execution of company-wide virtual events and leadership offsites

  • Track tasks and follow up on action items to ensure timely completion

  • Conduct research, compile data, and provide insights to aid decision-making

  • Manage confidential information with discretion and professionalism

  • Serve as a communication liaison between executives and internal/external stakeholders

  • Support ad hoc projects and perform general administrative tasks as needed


Required Skills and Qualifications

  • Bachelors degree in Business Administration, Communications, or related field (or equivalent experience)

  • Excellent command of English – both written and spoken

  • Proficiency in Microsoft Office Suite, Google Workspace, and calendar tools (e.g., Outlook, Google Calendar)

  • Strong organizational and multitasking abilities

  • High level of discretion and confidentiality

  • Exceptional interpersonal and communication skills

  • Ability to work independently and manage multiple priorities in a remote setting


Experience

  • Minimum of 2–4 years of experience as an Executive Assistant or Administrative Assistant

  • Experience supporting C-level executives is preferred

  • Previous remote work experience is highly desirable


Working Hours

  • Full-time: 40 hours per week

  • Flexible hours with overlap during core business hours (9 AM – 5 PM EST)

  • Occasional availability required for time-sensitive matters or global team meetings


Knowledge, Skills, and Abilities

  • Strong problem-solving and decision-making skills

  • High attention to detail and accuracy

  • Ability to anticipate needs and take initiative

  • Comfortable with using digital tools like Slack, Zoom, Notion, Trello, and project management software
