Job Summary

The Elite Job is seeking a highly organized, detail-oriented, and proactive Executive Administrative Assistant to provide top-tier support to senior executives. This role demands strong administrative, communication, and time-management skills to ensure seamless coordination across all business functions. The ideal candidate will be a dependable professional who thrives in fast-paced environments, anticipates needs, and handles confidential information with discretion.


Key Responsibilities

  • Provide comprehensive administrative support to C-level executives, including managing calendars, scheduling meetings, and coordinating travel.

  • Prepare and edit correspondence, communications, presentations, and other documents.

  • Handle incoming calls, emails, and other communications on behalf of the executives.

  • Organize and maintain files and records (digital and physical) with a high level of accuracy.

  • Liaise with internal departments and external stakeholders to ensure timely information flow.

  • Assist in planning and organizing company events, meetings, and conferences.

  • Track and reconcile expense reports and invoices.

  • Take minutes during executive meetings and follow up on action items.

  • Conduct research and prepare background materials as needed.


Required Skills and Qualifications

  • Bachelors degree in Business Administration, Communication, or related field (or equivalent experience).

  • Proven experience supporting senior-level executives in a fast-paced business setting.

  • Exceptional written and verbal communication skills.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.

  • Ability to multitask, prioritize assignments, and meet deadlines.

  • High degree of professionalism and ability to handle sensitive information with discretion.

  • Strong organizational and problem-solving skills.


Experience

  • Minimum of 3–5 years of experience as an Executive Assistant, Administrative Coordinator, or similar role.

  • Experience working remotely and using collaboration tools such as Zoom, Slack, or Microsoft Teams is a plus.


Working Hours

  • Monday to Friday, 9:00 AM to 6:00 PM (based on executive schedules and company requirements).

  • Occasional availability for urgent tasks outside of business hours may be required.
