Job Summary

HR Service Jobs is seeking a highly organized, detail-oriented, and proactive Remote Personal Assistant to support our executive team. This role is ideal for professionals who excel in multitasking, communication, and discretion. As a trusted right hand to high-level executives, you will handle a wide variety of administrative, scheduling, and coordination tasks. This is a fully remote position, offering you the flexibility to manage your time while playing a critical role in helping senior leadership stay productive and focused.


Key Responsibilities

  • Manage and maintain executive calendars, appointments, meetings, and travel arrangements.

  • Act as the first point of contact for internal and external stakeholders on behalf of the executive team.

  • Prepare and organize documents, reports, presentations, and correspondence.

  • Handle confidential information with the highest degree of integrity and discretion.

  • Track tasks, projects, and deadlines to ensure timely completion.

  • Screen emails, manage phone calls, and relay messages appropriately.

  • Coordinate virtual meetings and take minutes where necessary.

  • Provide personal assistance when required (e.g., booking appointments, online orders, reminders).

  • Monitor and prioritize incoming communications and flag urgent items.

  • Perform ad-hoc administrative tasks as needed.


Required Skills and Qualifications

  • Proven experience as a Personal Assistant, Executive Assistant, or similar administrative role.

  • Exceptional written and verbal communication skills in English.

  • Proficiency with productivity and collaboration tools (e.g., Google Workspace, Microsoft Office, Zoom, Slack, Trello).

  • Strong organizational and multitasking skills.

  • High level of professionalism, reliability, and discretion.

  • Ability to work independently with minimal supervision.

  • Fast and accurate typing, note-taking, and online research skills.


Experience

  • Minimum of 2 years in a personal or executive assistant role.

  • Experience working remotely or supporting C-level executives is highly preferred.


Working Hours

  • Flexible working hours to accommodate executive schedules across time zones.

  • Availability for occasional meetings during evenings or weekends may be required.

  • Approximately 35–40 hours per week, with room for adjustments based on workload.
