Job Summary

SysTechCare Support is seeking a proactive and detail-oriented Travel Desk Assistant to join our dynamic administrative team. This role is essential in managing end-to-end travel logistics for employees, ensuring smooth travel experiences, cost efficiency, and compliance with company policies. You will be the go-to person for all domestic and international travel bookings, vendor coordination, visa assistance, and travel documentation.


Key Responsibilities

  • Coordinate and book travel arrangements including flights, hotels, transportation, and visas for employees across departments.

  • Maintain and update the corporate travel calendar.

  • Monitor travel expenses to ensure adherence to company policies and budgets.

  • Handle emergency travel changes, cancellations, or re-bookings promptly.

  • Build and maintain strong relationships with travel agencies, airlines, and accommodation vendors.

  • Prepare travel itineraries and ensure travelers are equipped with relevant documents.

  • Provide visa processing support and guidance on country-specific travel requirements.

  • Manage travel reimbursements and expense reporting in coordination with the finance team.

  • Keep records of travel data for future reference and audits.

  • Communicate travel policy updates and changes across the company.


Required Skills and Qualifications

  • Bachelors degree in Hospitality, Business Administration, or a related field.

  • Proficiency in MS Office (especially Excel and Outlook) and familiarity with travel booking platforms.

  • Excellent communication and negotiation skills.

  • Strong attention to detail and time management.

  • Ability to work under pressure and handle last-minute changes efficiently.

  • Customer-first attitude with problem-solving abilities.


Experience

  • Minimum 1–3 years of experience in a similar role, preferably in a corporate environment.

  • Experience working with travel management systems and vendors is a plus.


Working Hours

  • Monday to Friday – 9:00 AM to 6:00 PM IST.

  • Flexibility required to handle urgent travel requests outside standard hours occasionally.

  • Sound understanding of global travel regulations, visa requirements, and airline policies.

  • Strong organizational skills with the ability to multitask and prioritize effectively.

  • Knowledge of cost-effective travel planning and budget optimization techniques.
