Job Summary

HR Service Jobs is seeking a smart, highly organized, and proactive Personal Assistant (Female Only) to support our senior management at the corporate office. The ideal candidate will be experienced in handling confidential tasks, managing executive calendars, coordinating meetings, and providing efficient administrative and personal support in a fast-paced corporate environment. This position requires a high level of professionalism, discretion, and initiative.


Key Responsibilities

  • Act as the point of contact between the senior executive and internal/external stakeholders.

  • Manage and maintain the executives calendar – schedule appointments, meetings, and travel arrangements.

  • Prepare reports, correspondence, presentations, and minutes of meetings.

  • Handle confidential documents ensuring they remain secure.

  • Screen and direct phone calls and emails, and manage correspondence.

  • Organize and maintain files, records, and documentation efficiently.

  • Coordinate events, office activities, and any personal errands when required.

  • Ensure smooth day-to-day operations and provide executive-level support with utmost discretion.


Required Skills and Qualifications

  • Graduate in any discipline (preferably in Business Administration, Secretarial Studies, or similar).

  • Excellent verbal and written communication skills in English.

  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).

  • Strong organizational skills and attention to detail.

  • High degree of discretion and confidentiality.

  • Ability to multitask and prioritize effectively under pressure.

  • Presentable, polite, and professional in demeanor and appearance.


Experience

  • Minimum 1 year of experience as a Personal Assistant, Executive Assistant, or in a similar administrative role, preferably in a corporate environment.

  • Experience in coordinating with leadership teams and managing executive calendars will be an added advantage.


Working Hours

  • Monday to Saturday

  • Timing: 10:00 AM to 6:30 PM

  • Occasional flexibility in working hours may be required based on executive commitments.

  • Sound knowledge of office management systems and procedures.

  • Strong interpersonal skills with the ability to work collaboratively.

  • Adaptability and a problem-solving mindset.

  • Ability to maintain composure and work effectively in demanding situations.
